POLICIES AND GUIDELINES

The YMCA is made up of people of all ages and from every walk of life working side by side to strengthen communities. Together we work to ensure everyone, regardless of gender, income, faith, sexual orientation or cultural background, has the opportunity
to live life to its fullest. We share the values of caring, honesty, respect and responsibility—everything we do stems from it.

Our policies are designed and intended to ensure everyone at the La Crosse Area Family YMCA has the best possible experience.

If there are any questions, please feel free to speak with a YMCA staff member at either facility.

For your safety and enjoyment.

  • You must be 18 years of age or older to use the steam room or sauna.
  • Long exposure may result in nausea, dizziness, and/or fainting. Please limit time to 15 minutes.
  • Swimwear or comparable clothing is required.
  • Do not pour water on sauna rocks.
  • Persons who are pregnant or have health conditions should consult a physician before using.
  • No glass or breakable objects are permitted.
  • Cell phones are prohibited in these spaces.
  • Please shower after use if you plan to enter the pool.
  • For your protection, exercising or rubberized suits are not permitted.
  • Personal hygiene activities (shaving, hair-cutting, etc.) are never permitted.

To create a welcoming and healthy environment for all.

  • Dress for the activity.
  • Wear something that makes you feel comfortable.
  • Be mindful that these are shared spaces.

Non-marking, closed-toe shoes must be worn in all fitness areas. Please be courteous to others by observing proper regular hygiene and limiting the use of scented sprays.

Clothing with offensive language or graphics is prohibited. The YMCA reserves the right to define inappropriate/offensive attire.

The La Crosse Area Family YMCA values its members and places a high priority on member service. It is our policy that all staff, volunteers, and board of directors will institute and nurture a culture of member service and satisfaction through their interaction with members, the development of procedures, and the implementation of programs.

 

SUPERVISION

Anyone age 10 or under must be accompanied by an adult age 18+ at all times while on YMCA property.

 

GUEST PASSES

Members are encouraged to invite friends and family to experience the Y with them. This is generally on a for-fee basis, however, member incentives will periodically be offered where members may invite guests for FREE. The general guest policy is outlined in the member handbook.


NATIONWIDE MEMBERSHIP PROGRAM

The La Crosse Area Family YMCA has joined the Nationwide Membership program, which allows you to visit Ys across the country for free (over 90% of YMCAs are participating in this program). Policies are processes vary according to each individual Y. When inquiring about facilities and visitation please reference the La Crosse Area Family YMCA.

 

Y CHILD WATCH

Drop-in child care (Y Child Watch) is available (free) to Y Family Members up to 2 hours.

 

MEMBER CODE OF CONDUCT

We are committed to providing a safe and welcoming environment for all members and guests. To promote safety and comfort for all, we ask individuals to act appropriately at all times when they are in our facility or participating in our programs.

We expect persons using the Y to behave in a mature and responsible manner and respect the rights and dignity of others. Our Code of Conduct does not permit language or action that can hurt or frighten another person or that falls below a generally accepted standard of conduct. Our Code of Conduct reflects our core values of caring, honesty, respect, and responsibility.

Specifically, members are NOT to engage in the following activity including:

  1. Angry or vulgar language including swearing, name-calling, or shouting.
  2. Intentional physical contact with another person in an angry, threatening, or sexual manner.
  3. Any demonstration of sexual activity.
  4. Harassment or intimidation by words or gestures, body language, or any other menacing behavior.
  5. Inappropriate attire.
  6. Theft or behavior that results in the destruction of property.
  7. Carrying, or concealing weapons or devices or objects that may be used as weapons.
  8. Using or possessing illegal chemicals or alcohol on Y property, Y vehicles, or at Y sponsored programs.
  9. Chronic disregard for Y policies.
  10. Any other conduct that is inappropriate, threatening, or offensive in nature.
  11. Smoking is not permitted in or outside the YMCA. The YMCA and its property is a smoke-free environment.
  12. The use of cell phones with cameras and all other camera or video recording devices are PROHIBITED in all bathrooms, locker rooms and changing areas.

Members and guests are encouraged to be responsible for their personal comfort and safety by requesting that the offensive behavior be stopped from any person whose behavior is in violation of the Code of Conduct listed above. If a member feels uncomfortable confronting the person directly, they should report it immediately to a Y staff person.
Members and guests should not hesitate to notify a Y staff person if assistance is needed. Please do not hesitate in requesting help. Our staff are here to help make the Y the best part of your day.

The branch directors and CEO will review all reported incidents. The decision to suspend or terminate Y membership privileges will be made at their discretion if a violation of the Code of Conduct has occurred.

 

DRAFT INFORMATION

Due to our draft process, we require one business day notice in order to stop any drafts or make any changes to your membership that you wish to take effect for that upcoming draft. 

 

TRANSACTION DISCREPANCIES

Please check your bank and credit card statements regularly. If you notice a discrepancy on your statement, we ask that you please notify us promptly. Refunds will not be issued for discrepancies older than 90 days.

 

CANCELLATION POLICY

If paying monthly using automatic deduction as a convenient way to pay for my membership and, for any reason, I wish to terminate or change the status of my membership, I must give the YMCA one business day notice of cancellation either in-person, over the phone, or via email to our membership team at least one business day prior to the draft.

  • If prepaying, I understand that my membership is non-refundable and non-transferable to any other person or YMCA.
  • I understand the La Crosse Area Family YMCA reserves the right to increase membership rates as necessary, with at least a 30-day advance written notice.
  • In the event of dangerous weather conditions or other circumstances outside of our control, I understand the La Crosse Area Family YMCA reserves the right to adjust facility hours or close our facilities completely without reimbursement of membership fees.

I have read and understand the La Crosse Area Family YMCA Membership Payment Agreement. I agree to all terms and hereby sign it freely and voluntarily.

CANCELLATION PROCESS

We understand that certain life situations, circumstances or other reasons may cause you to leave our Y. You can cancel your membership one of three ways:

  1. Stop in at either branch and cancel in-person.
  2. Call us at 608-782-9622 and we can process your request over the phone.
  3. Email [email protected] with your name, membership type and a reason for canceling.
 I must give the YMCA one business day notice of cancellation either in-person, over the phone, or via email to our membership team at least one business day prior to the draft.

DENIAL OR REVOCATION OF MEMBERSHIP:

The CEO of the La Crosse Area Family YMCA has the authority to deny or revoke membership to any individual if it has been determined that said individual’s behavior or other may jeopardize the comfort and safety of others. This includes, but is not limited to, convicted sex offenders, drug traffickers, etc.

To ensure a comfortable atmosphere for everyone, please be courteous and respectful of others.

  • Dress for the activity.
  • Wear something that makes you feel comfortable.
  • Be mindful that these are shared spaces.

Please bring a change of shoes to avoid tracking in excess dirt, water, snow, etc. Sandals or flip-flops are not allowed. Jeans are not allowed due to buckles, rivets and zippers that can wear on the equipment.

Must be 14 years of age to attend Group Fitness or use the Wellness Center.

Do not drop weights on the floor. Please be respectful of the equipment.

Talking on cell phones is prohibited. If you need to take a call or make a call, we ask members to step outside the space.

Please place all bags, coats, extra shoes etc. in a locker. We would like to keep clutter down and provide as much space for exercising.

Derogatory and obscene language is not allowed. These words are distracting and offensive.

Equipment from home (TRX, Kettlebells, etc.) is not allowed.

Return equipment and rack weights when finished.

After using the equipment, please wipe it down and place used towels in the bins.

Chalk is not allowed.

Specific to the Wellness Center:
Only YMCA Personal Trainers are allowed to train with clients on YMCA property. The training room is for trainer and client use only.

Do not monopolize several pieces of equipment while others are waiting. Please allow others to “work in” or take turns.

The above rules and guidelines are there to help each member practice these core values so that every member can participate and enjoy all the YMCA has to offer.

PAYMENTS
Program fees must be paid in full at the time of registration. Payment methods include cash, check or charge (Mastercard, Visa, American Express or Discover). Payment for registrations done online or by phone must be completed by debit or credit card.

MEMBERSHIP RATES
To take advantage of the membership rate for programs, the member must have a valid membership for the entire session of the program. If the membership is discontinued during the session and the member wishes to complete the program, they would be charged the non-member price for the remainder of the session.

CLASS TRANSFER/CHANGE
Transfers or changes to a different program within the same session are allowed free of charge.

CLASS RESCHEDULING
The YMCA reserves the right to reschedule or combine classes and cancel up to one class without issuing a refund.

INCLEMENT WEATHER
No refunds will be issued for classes missed or cancelled due to inclement weather or holidays. 

REFUNDS FOR CANCELLATION
There will be a non-refundable administrative fee of $5 for all programs which are cancelled by the member after registering for the program. 

If the member cancels prior to the first day of the program, they will be issued a refund equal to the cost of the program less the $5 administrative fee. 

Refund will be provided to the member via the same method payment was made. If the member paid by cash or check, a refund check will be issued to them. 

INFORMATION COLLECTION AND USE

Our site uses forms in which you give us contact information (including your name, address, telephone number, and email address) so you may place orders, request information and support, and make product suggestions. For certain services, we may also request a credit card number, government identification number, or other financial information. We may then create an account number for you.
 

We reserve the right to store any information you enter on our Site or give us in any other way, including through email, telephone, or other communications with our customer service department. If you contact us for support, we may keep an internal record of what support was given.
 

We may use your information to contact you regarding functionality changes to our products, our Site, new Name of business services, and special offers we think you’ll find valuable. If you would rather not receive this information, please contact us to change your preferences.

CONTESTS/SURVEYS

From time-to-time, we may provide you with the opportunity to participate in contests or surveys. If you choose to participate, we may request certain personally identifiable information from you. What Happens to my Personal Information if I terminate my La Crosse Area Family YMCA Account?

When your La Crosse Area Family YMCA account is cancelled (either voluntarily or involuntarily) all of your personally identifiable information is placed in “deactivated” status on our relevant La Crosse Area Family YMCA databases. However, deactivation of your account does not mean your personally identifiable information has been deleted from our database entirely. We will retain and use your personally identifiable information if necessary in order to comply with our legal obligations, resolve disputes, or enforce our agreements.

CHANGES IN OUR PRACTICES

We reserve the right to modify this Privacy Policy at any time. If we decide to change our Privacy Policy, we will post those changes to this Privacy Policy and any other places we deem appropriate, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it.
 

If we make material changes to this Policy, we will notify you here, by email, or by means of a notice on our home page, at least thirty (30) days prior to the implementation of the changes.

Day passes are available for $15 per member per day.

Members are encouraged to invite friends and family to experience the Y with them. Guests will recieve a discounted pass at $10 per member per day. 

All guests of the YMCA must present a photo id and complete guest pass form upon entering the facility.  Guests who are under age 9 must be accompanied by an adult age 18+ at all times. 

NATIONWIDE MEMBERSHIP

The Y participates in the Nationwide Membership Program and honors visiting Y members visit our facilities FREE OF CHARGE. The visiting Y member must show a valid Y membership card.

The La Crosse Area Family Y will always put the safety of its members, program participants and staff first when decisions need to be made concerning inclement weather. When inclement weather poses a threat, the YMCA may adjust or cancel scheduled hours of operation, programs and/or special events.

PROGRAM CLASSES
Cancellation of YMCA classes and/or programs will not be based upon local schools cancellations. We will make an independent decision based on our assessment of the weather. If we decide to cancel, we will notify by posting it on our Facebook page (search www.facebook.com/laxymca) and the Twitter account (search www.twitter.com/laxymca) and website home page. There will be no refunds for classes missed if you decide not to attend.

FACILITY CLOSINGS
If the YMCA is closed, has a delayed opening or will be closing early, announcements will be be sent to all members via email and posted to our website homepage and our Facebook page.

SAFETY AND SECURITY
Emergency procedures are in place at the YMCA. In the event of an emergency, please contact a YMCA staff member. 

If the fire alarm sounds, STOP all activity and wait for instruction from the staff. Evacuation is not always necessary. Please listen to staff and follow instructions promptly. All exits are clearly marked; please familiarize yourself with their locations. Report any suspicious activity to YMCA staff immediately.

PHOTO POLICY
La Crosse Area Family YMCA policy regarding the use of photographic or video equipment states that “photography of any kind within the YMCA or site will not be permitted without prior consent. In instances in which permission is granted, the images must exclude any individual(s) who have not previously signed a YMCA Photo Release Form. Failure to support this policy may result in the confiscation of the photographic/video image and the involvement of the Police Department.”

CAMERA AND CELL PHONE USAGE
The YMCA believes in protecting the privacy and well-being of all members and guests. The use of camera cell phones provides a challenge to ensuring the privacy of our patrons. We ask that:

  • Members and guests do not use the camera functions on these cell phones while in the YMCA. Cell phones are not allowed in any YMCA locker room or restroom. 
  • Members and guests should immediately report any concerns related to others using camera cell phones.

CELL PHONE ETIQUETTE
For the safety and enjoyment of all YMCA users, please refrain from wearing pagers and cell phones while working out or in the locker rooms. If you require your cell phone for emergency calls, please set it to vibrate and take the call in a private area.

OUTDOOR EVENTS PET POLICY
Owners are responsible for the behavior of their pets. All pets must be kept on a leash (6 ft. leash maximum) with a handler at all times. Pet handlers must be at least 16 years old. The YMCA is a family-first organization. Know your pet’s reaction to children. No aggressive pets allowed. Pet waste must be collected and disposed of immediately. No pets are allowed inside YMCA buildings except service animals. For YMCA events that happen off-site in the community, please see the rules and policies of each park or school.
